01 / DEFINE THE ORDER
Separate sets, pieces and colorways.
A football uniform order is easier to review when every quantity has a clear unit. List jerseys, pants and complete sets separately. State whether home and away designs are both required and whether a player receives one jersey or multiple colorways.
For example, 30 players receiving one home jersey, one away jersey and one pair of pants means 60 jerseys and 30 pairs of pants. Calling that simply “30 uniforms” leaves the intended assortment unclear. Put any spare pieces on their own lines and include them in the total.
Record the team name, age group, design version and required arrival date at the top of the order. Nominate one person to combine roster changes and approve the final version.
02 / BUILD THE ROSTER
Give every item a clear assignment.
Use a row for each player and colorway, or use anonymous player references until personalization is finalized. These are illustrative entries, not a real team roster.
| Player reference | Printed name | Number | Colorway | Jersey size / qty | Pants size / qty |
|---|---|---|---|---|---|
| P01 | SAMPLE | 07 | Home | Adult M / 1 | Adult L / 1 |
| P01 | SAMPLE | 07 | Away | Adult M / 1 | No pants / 0 |
Keep jersey and pants sizes in separate fields. Write adult or youth alongside the size, preserve number formatting such as “07,” and enter names exactly as they should be printed. If you use a spreadsheet, format the number column as text so leading zeros are retained.
Before approval, total quantities by garment, colorway and size. Check repeated numbers with your team representative and distinguish an intentional spare from an accidental duplicate row.
03 / CONFIRM FIT
Use the agreed size chart for the construction.
Confirm the size reference
Request the proposed garment measurements and measurement method. Confirm the fit over the equipment the player will wear; a size label alone does not establish equivalent fit across suppliers.
Review jersey and pants separately
Record the required jersey fit and pants construction. Identify any integrated padding, pad-pocket or other construction requirements in the brief and have the proposed specification confirmed.
Use the sample to resolve questions
Review the sample against the agreed measurements, fit and construction. Record changes before approving the bulk order instead of relying on a player's usual casual clothing size.
Plan spares and later additions
List spare sizes as order items. Ask how future replacements or additional players will be handled, including artwork version, minimum quantity and availability of materials.
04 / CHECK THE FINAL PROOF
Approve the design and the roster together.
Check the team logo, printed names, number style, placement and color references on the proof. Review home and away versions independently. Have the team confirm its competition's applicable uniform requirements before signing off the design.
- Spellings and numbers match the final roster.
- Artwork and roster share the same approved version.
- Quantities reconcile by garment, colorway and size.
- Materials, construction and sample revisions are recorded.
- Packing is agreed: by player, size or another grouping.
- Destination and required arrival date are included.
